1. What information do we collect?
Personal information you disclose to us
In short: We collect information that you provide to us.
We collect personal information that you voluntarily provide to us when you express an interest in obtaining information about us or our products and Services, when you participate in activities on the Website or otherwise when you contact us. The personal information we collect depends on the form you use:
- Contact form: your name, email address, phone number (optional), practice or company name (optional), the service you are interested in, and your message.
- Partner referral forms (the pages for our partner programs, such as Burkhart Dental, Safco Dental Supply, DHP Supply, Plan Forward, Simmons Safe and Dental City): the practice owner's name, email address, phone number, practice name, practice location, the services of interest and inquiry details. When a partner representative submits a referral, we also collect the representative's name, mobile number, optional email address and whether they would like us not to contact them. If you submit information about another person, you confirm that you have their permission to share it with us.
- Newsletter signup: your first name and email address.
- Email, phone and scheduling: information you include when you email or call us, or when you book a call through our scheduling page.
Please do not send us patient information or other health information through the Website or its forms.
All personal information that you provide to us must be true, complete and accurate, and you must notify us of any changes to such personal information.
Information automatically collected
In short: Some information, such as your Internet Protocol (IP) address and browser and device characteristics, is collected automatically when you visit our Website.
We automatically collect certain information when you visit, use or navigate the Website. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as your IP address, browser and device characteristics, operating system, language preferences, referring URLs, country, location, information about how and when you use our Website and other technical information. This information is primarily needed to maintain the security and operation of our Website, to protect our forms from spam and abuse, for our internal analytics and reporting purposes, and to measure our advertising.
Like many businesses, we also collect information through cookies and similar technologies, as described in section 4.
Information collected from other sources
In short: We may collect limited data from public databases, marketing partners, and other outside sources.
In order to enhance our ability to provide relevant marketing, offers and services to you and update our records, we may obtain information about you from other sources, such as public databases, joint marketing partners (including the partner program representatives who refer practice owners to us), affiliate programs, data providers, as well as from other third parties. This information may include mailing addresses, job titles, email addresses, phone numbers, intent data (or user behavior data), Internet Protocol (IP) addresses, social media profiles, social media URLs and custom profiles, for purposes of targeted advertising and event promotion.
2. How do we use your information?
In short: We use your information to respond to you, to provide and improve our Services, and to keep the Website secure.
- To respond to your inquiry or referral and connect you with the right KLAS division.
- To send you a confirmation that we received your form, and to notify our team so we can follow up.
- To keep records of inquiries and client relationships in our customer relationship management (CRM) system.
- To send the newsletter or other communications you asked to receive. You can unsubscribe at any time.
- To protect the Website and its forms from spam, fraud and abuse.
- To understand how the Website is used and improve it.
- To measure the results of our advertising and, where permitted, show you relevant KLAS ads on Google and partner sites (see Google Analytics features we use).
- To comply with legal obligations.
3. Will your information be shared with anyone?
In short: We only share information with your consent, to comply with laws, to provide you with services, to protect your rights, or to fulfill business obligations.
We may process or share your data that we hold based on the following legal basis:
- Consent: We may process your data if you have given us specific consent to use your personal information for a specific purpose.
- Legitimate interests: We may process your data when it is reasonably necessary to achieve our legitimate business interests.
- Performance of a contract: Where we have entered into a contract with you, we may process your personal information to fulfill the terms of our contract.
- Legal obligations: We may disclose your information where we are legally required to do so in order to comply with applicable law, governmental requests, a judicial proceeding, court order, or legal process, such as in response to a court order or a subpoena (including in response to public authorities to meet national security or law enforcement requirements).
- Vital interests: We may disclose your information where we believe it is necessary to investigate, prevent, or take action regarding potential violations of our policies, suspected fraud, situations involving potential threats to the safety of any person and illegal activities, or as evidence in litigation in which we are involved.
More specifically, we may need to process your data or share your personal information in the following situations:
- Service providers. We use trusted vendors to run the Website and our Services, and they process information on our behalf. They currently include: Vercel (website hosting), Pipedrive (customer relationship management and our NDA web form), Twilio SendGrid (delivery of form notifications and confirmation emails), Google (Google Analytics for website analytics and advertising measurement, Google Ads when linked, and Google reCAPTCHA for spam protection), Microsoft (our call scheduling page) and the providers of content embedded on the Website, described in section 4.
- KLAS divisions. We may share your inquiry with the KLAS division best placed to help you (KLAS Dental Coaching, KLAS Healthcare Coaching, KLAS Accounting, KLAS Transitions, KLAS Real Estate or KLAS Marketing).
- Partner programs. If you were referred to us by a partner representative, we may let the referring representative know that we followed up, unless they or you ask us not to.
- Business transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- Business partners. We may share your information with our business partners to offer you certain products, services or promotions.
4. Do we use cookies and other tracking technologies?
In short: Yes. We use analytics, advertising measurement and spam-protection technologies, and some embedded content sets its own cookies.
- Google Analytics. We use Google Analytics 4 to measure visits, how the Website is used and successful form submissions. It uses first-party cookies (such as the Google Analytics cookies) and collects information such as the pages you view, how you arrived at the Website, your device and browser, and your location. We have turned on the Google Analytics features described below.
- Google reCAPTCHA. Our forms are protected by Google reCAPTCHA v3, which loads when you start filling in a form. It collects hardware and software information, such as device and application data, and sends it to Google to tell people from automated programs. Its use is subject to the Google Privacy Policy and Terms of Service.
- Embedded content. Some pages show content from other services, which may set their own cookies or collect usage data when the content loads: client testimonial videos (our video hosting provider, loaded only when you press Play), client reviews (Elfsight), podcast audio and artwork (Captivate), and the Microsoft Bookings page our Schedule button opens. Links to YouTube, Spotify, Apple Podcasts, Facebook and LinkedIn take you to those services, which have their own privacy policies.
Google Analytics features we use
- Google signals. When you are signed in to a Google account and have allowed Google to associate your activity with your account (for example, through Ads Personalization in your Google account settings), Google Analytics associates the visit information it collects on our Website with information from your Google account. This lets us see aggregated, anonymized reports, such as how people use the Website across devices and demographic and interest reports (for example, age range and general interests). We do not see who you are from these reports.
- Granular location and device data. Google Analytics collects more detailed location and device information, such as the city you are browsing from (derived from your IP address) and your device model, browser and operating system. Google does not log or store your full IP address in Google Analytics 4.
- User-provided data collection. When you submit a form on the Website, the Google tag may detect information you entered, such as your email address or phone number. This information is hashed (converted into a coded string) in your browser before it is sent to Google, and Google uses it to improve the accuracy of our measurement, such as matching a form submission to an ad you saw, and to support audience features in our linked Google Ads account. The message you write and the other details you enter in our forms are not sent to Google Analytics. We do not use the Google Analytics user-ID feature or send our own customer identifiers to Google.
- Advertising features and ads personalization. We may link Google Analytics to Google Ads. When we do, we may use Google Analytics audiences (for example, people who visited a page on the Website) and key events (such as a submitted form) to measure our advertising and to show you relevant ads on Google and partner sites (remarketing). We and third-party vendors, including Google, use first-party cookies (such as the Google Analytics cookies) and third-party cookies (such as Google advertising cookies) together to inform, optimize and serve ads based on your past visits to our Website, and to report how ad impressions and interactions relate to visits to our Website.
Your choices for Google Analytics and Google ads:
- Control how Google uses your activity and turn off personalized ads in My Ad Center.
- Review and delete the activity Google associates with your Google account in My Activity.
- Opt out of Google Analytics on all websites with the Google Analytics opt-out browser add-on.
- Opt out of interest-based advertising by many ad companies at aboutads.info/choices or, in the European Union, youronlinechoices.eu.

Most web browsers are set to accept cookies by default. If you prefer, you can usually choose to set your browser to remove cookies and to reject cookies. If you choose to remove cookies or reject cookies, this could affect certain features or services of our Website.
5. How long do we keep your information?
In short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than 2 years.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
6. How do we keep your information safe?
In short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. The Website is served over an encrypted (HTTPS) connection, and our forms use spam protection and rate limits. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security, and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Website is at your own risk. You should only access the Website within a secure environment.
7. Do we collect information from minors?
In short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly solicit data from or market to children under 18 years of age. By using the Website, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Website. If we learn that personal information from users less than 18 years of age has been collected, we will take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at privacy@klassolutions.com.
8. What are your privacy rights?
In short: Depending on where you live, you may have rights to access, correct or delete your personal information.
Depending on the laws where you live, you may have the right to request access to the personal information we hold about you, to correct it, to delete it, or to object to or limit certain processing. To make a request, see section 13.
You can unsubscribe from our marketing emails at any time by using the unsubscribe link in those emails or by contacting us. We may still send you messages about an inquiry or service you requested.
If you are resident in the European Economic Area and you believe we are unlawfully processing your personal information, you also have the right to complain to your local data protection supervisory authority. You can find their contact details at edpb.europa.eu.
If you are resident in Switzerland, the contact details for the data protection authorities are available at edoeb.admin.ch.
9. Controls for do-not-track features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.
10. Do California residents have specific privacy rights?
In short: Yes, if you are a resident of California, you are granted specific rights regarding access to your personal information.
California Civil Code Section 1798.83, also known as the "Shine The Light" law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. If you are a California resident and would like to make such a request, please submit your request in writing to us using the contact information provided below.
We do not sell personal information for money. Our use of Google advertising features (described in section 4) may be considered "sharing" personal information for cross-context behavioral advertising, or "targeted advertising," under the laws of California and some other states. You can opt out by turning off personalized ads in My Ad Center, by using the Google Analytics opt-out browser add-on, or by emailing privacy@klassolutions.com.
11. Do we make updates to this notice?
In short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this privacy notice from time to time. The updated version will be indicated by an updated "Last updated" date and the updated version will be effective as soon as it is accessible. If we make material changes to this privacy notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification.
